How to organize receipts for tax preparation

A useful archive connects every spreadsheet row to its original receipt and explains uncertain or mixed-purpose spending. The exact records you must keep depend on your jurisdiction and circumstances.

Use one structure for the whole year

Use filenames such as 2026-02-03-parking.jpg. ReceiptJar includes the original filename in the CSV, making the row traceable after export.

Capture

Save the complete receipt while it is readable. Keep the source file rather than relying on a temporary processing service.

Describe

Record date, vendor, total, tax, category, filename, and any business-purpose context your workflow requires.

Reconcile

Compare the spreadsheet with statements and source folders; investigate duplicates, gaps, and unexpected totals.

Monthly maintenance checklist

  1. 1.Move new receipts into the correct month folder.
  2. 2.Remove duplicates and confirm cropped images still show the full receipt.
  3. 3.Add new rows or extract them into your CSV.
  4. 4.Review missing vendors, dates, totals, and tax amounts.
  5. 5.Add context for mixed personal/business or unusual purchases.
  6. 6.Back up both the CSV and original receipt files.

Cleaning up an existing backlog?

Start with one representative month. Preview three receipts, confirm the fields are useful, and only then process the larger batch. ReceiptJar deletes session files after about 30 minutes, so keep your originals elsewhere.
