When not to adopt another receipt app
Software is useful when it removes recurring work. For a small, occasional cleanup, setting up an ongoing system can create more work than it saves.
Start with the frequency question
A few receipts, once
Enter them manually in the free CSV template.
A backlog, occasionally
Use a one-time converter and review the result.
Receipts every week
Consider a recurring expense app or established bookkeeping process.
Complex records or uncertain treatment
Work with a bookkeeper, accountant, or other qualified professional.
A simple tool may be enough
- You work alone
- You already keep source files elsewhere
- You only need spreadsheet rows
- Manual reconciliation is acceptable
- The cleanup is occasional
Use a full system instead
- Multiple submitters or approvers
- Bank/card feeds and rules
- Reimbursements or policy enforcement
- Long-term hosted receipt history
- Recurring reports and integrations
