Decision checklist

When not to adopt another receipt app

Software is useful when it removes recurring work. For a small, occasional cleanup, setting up an ongoing system can create more work than it saves.

Start with the frequency question

A few receipts, once

Enter them manually in the free CSV template.

A backlog, occasionally

Use a one-time converter and review the result.

Receipts every week

Consider a recurring expense app or established bookkeeping process.

Complex records or uncertain treatment

Work with a bookkeeper, accountant, or other qualified professional.

A simple tool may be enough

  • You work alone
  • You already keep source files elsewhere
  • You only need spreadsheet rows
  • Manual reconciliation is acceptable
  • The cleanup is occasional

Use a full system instead

  • Multiple submitters or approvers
  • Bank/card feeds and rules
  • Reimbursements or policy enforcement
  • Long-term hosted receipt history
  • Recurring reports and integrations

Lowest-commitment test

  1. Download the free template if manual entry is manageable.
  2. Open the synthetic sample if you want to see the review flow.
  3. Preview three representative receipts if you need actual extraction.
  4. Adopt a broader system only when the recurring workflow justifies it.
